  1. Lodging rates are subject to Government tax of 8%

  2. Free twenty-four hour courtesy hold available to allow  you time to secure your travel arrangements. After the 24 hours period a deposit  is required to confirm the reservation and guaranty the rate. 

  3. Balance of all rental, fees and taxes are due on time and in accordance to the detailed timetable as outlined in your agreement.

  4. A security deposit of $300.00 is required and due at least 21 days in advance of arrival.  This deposit, less damages, will be refunded via check or credit card refund within 10 days of departure.  Stays of one month or longer require additional security.

  5. Upon receipt of all fees, taxes and deposits your custom lock codes will be created and delivered via email.

  6. Payments are preferred by check.  Master Card, Visa and Discover are also accepted via Pay Pal.   Acceptance Mark

  7. Cleaning is for end of stay only.  Mid visit freshen-up and linen change is available.  All cleaning (either free or fee added) is for a standard cleaning only.  Additional fees may be assessed based on the condition of the condo at check out.  Any expectations will be explained  in your  agreement.

  8. Minimum stay is 3 nights with the following exceptions;
    7 nights for bookings including dates between December 20th and January 5th.  
    7 nights for bookings which include President's Week, February 13th - Feb 20th, 2010
    7 nights for bookings which include Rolex Race Week (usually late March through mid April)

  9. Occupancy is limited to 4 people.  Additional guest fees are $10.00 per person per night.  Children under ten are free, 10-14 at half the adult fee.  

  10. Long term rental rates and security deposit requirements are available by request.  Monthly rates as quoted include reasonable but capped allowances for electricity and water usage.  Usages above these caps are the responsibility of the tenant..  A full disclosure of utility limits is available upon request.

  11. All guests tenants and visitors must abide by all posted House rules as well as the rules and regulations of Sapphire Village and the Homeowner's Association (SVCOA) which may be viewed on the web at sapphirevillage.com/realtors/index.htm

 

Cancellation, Refund and other Policies (for stays of less then 1 month only) there are two options based on the amount of deposit:

  1. Confirmation deposits of 50% or more will receive a full 100% refund of all deposits for any cancellation received at least 60 days in advance of arrival.
    Cancellations received 45-59 days in advance of arrival receive a refund of all deposits less a $100 cancellation fee 
    Cancellations received 31-44 days in advance of arrival receive a 50% refund of  total lodging fees.*
    Cancellations received within 30 days in advance of arrival forfeit 100% of deposits for invoiced lodging fees**

     * If the unit re-rents for any or all of your originally reserved stay your refund will be increased to 75% for any such re-sold nights. 
    ** If the unit re-rents for any or all of your originally reserved stay your refund will be increased to 50% for any such re-sold nights.

  2. Guests booking 4 months in advance for visits of 5 days or longer may choose a lesser deposit of $200 and are eligible for a 100% refund of all deposits for cancellations received at least 90 days in advance of arrival.  
    Cancellations received 60-89 days in advance of arrival receive a deposit refund less a $100.00 cancellation fee.
    Cancellations received 45-59 days in advance of arrival receive a refund of all deposits less a $200.00 cancellation fee
    Cancellations received 31-44 days in advance of arrival receive a 50% refund of invoiced lodging fees.*
    Cancellations received within 30 days in advance of arrival forfeit 100% of invoiced lodging fees**

  3. Cancellations or changes may be submitted by phone, US Mail or email but are not considered valid until receipt is formally acknowledged.

  4. After all fees have been received and at least two weeks prior to your arrival we will transmit your custom electronic key code along with detailed instructions for the lock.

  5. Guests will be charged $25.00 per half hour for unauthorized late check- outs.  We'll be happy to work with you in advance whenever possible but the key words here are advance and possible.

  6. All rates and policies are subject to change at any time without advance notice.  Your specific rates and policies will be clearly defined in your rental agreement.

  7. Cancellation cleaning and other policies on stays of one month or longer are available by request and will be clearly defined in your rental agreement.

Travel Information:

  • Check-in is after 4:00 p.m. Check-out is prior to 11:00 a.m. unless special arrangements have been agreed to.  
    Key codes expire at check-out and you will be locked out.

    Please return all condo property to the unit prior to 11:00 am. 
    Do not leave luggage or personal belonging behind. past 11:00 am. 

  • If you rent a car you must pick up a parking pass at the office during normal business hours.  There is no charge for short term guests under two weeks.  Longer term parking fees and deposits can be found at the SVCOA web address listed above (#13)

  • To protect against loss we suggest you consider the purchase of Travel Insurance.  Two such providers are: insuremytrip(dot)com or guarantee(dot)homeaway(dot)com.

  • Private taxis from the airport are available by advance reservation only.  Most frequently 12 passenger vans are used and you will be grouped by the dispatcher with travelers going in the same general area.

  •  For ease of travel a passport is recommended but as of this writing it is not required for U.S. citizens.  Proof of citizenship however is required.  Please check with the airline, travel agent or State Dept.  Citizenship documentation is especially critical if you plan to visit the British Virgin Islands.

  • The standard currency in USVI and BVI is the US dollar

  • In advance of your arrival and upon receipt of all fees and deposits you will receive your individual pass code for the electronic door lock together with instruction on how to reset the lock upon arrival to a 3 or 4 digit code of your choosing.

  • The Property Office will occasionally need to access the condo for maintenance or meter readings.  This is usually done around the 20th of each month.  A notice is posted a few days prior at the entrance walkway of each unit.  Your cooperation will be appreciated.

  • We would be happy to answer any questions you have about your visit.  Your perfect vacation is our best advertisement.
